September brings workflow approvals to manual transactions, and introduces two levels of approval where your governance requires it. It also delivers control for Xero synchronisation at every level, email open tracking, and search in the client centre.

Alongside them sit more than thirty refinements across offers, capital calls, investor communications, meetings and reporting. Each one closes a gap our clients told us about. Here is what changed.

Every transaction approved before it reaches the register

Transactions created through the manual transaction forms now run through workflow approvals. Every create, edit or delete is reviewed by an approver before it touches the register. 

  • Pending transactions sit in their own table until a reviewer approves or declines them.
  • Single and bulk deletions from the All transactions list follow the same approval path.
  • Approval request, review and outcome emails take reviewers straight to the approval details page.
  • Activity logs record the request and the decision, so the audit trail is complete.

Transactions awaiting approval are locked from editing. If a redemption or transfer no longer has sufficient quantity at the point of approval, the request returns to pending with a clear validation message.

Two levels of approval, where governance demands it

Workflow approvals now support one or two sequential approvals. Clients can separate responsibilities so one team reviews a change before another gives final approval, such as registrar then client, or operations then compliance. 

  • Approver groups. Create and manage approver groups in the client centre. Each group is available across every issuer under the client, and users can belong to more than one.
  • Configurable stages. Choose whether an action needs one approval or two, and which approver group handles each stage. ‘All approvers’ remains the default for clients who do not use groups.
  • The right request to the right people. First level approvers see the request first. Second level approvers are notified only once the first review is accepted. A decline at either stage ends the request with no change applied.
  • A complete record. Both stages record the reviewer, decision and time. Pending changes stay read only, marked Awaiting approval, until the final approval processes them.

Existing single approval workflows continue exactly as before, with no configuration required.

Xero synchronisation, set where the work happens

Your default Xero settings remain the standard. You can now override them for a single offer, a single capital call, or an individual application or call.

  • Capital calls. A new Xero synchronisation step in the capital call setup wizard lets you choose whether invoices are created in Xero and whether a manual journal is posted when the call is processed. You can adjust the Unpaid Capital and Paid Capital Pending Allotment accounts for that call, and override again for individual investor calls on the processing page. 
  • Offers and applications. The offer setup now includes its own Xero synchronisation step, and the application details page lets you set how each individual application syncs. 
  • Account mapping. Mapping dropdowns now show every account within the relevant class, whether Asset, Liability, Equity or Expense, rather than limiting you to a single account type. Current and non-current accounts both appear. 

Search, now in the client centre

Advanced search now lives in the client centre as well as the issuer centre. It searches across the client you have selected and works exactly as it does in the issuer centre. Select a result and the platform switches you to the relevant issuer and client automatically. 

Offers and applications

  • Control who applies with existing details. A new per-offer setting lets issuers decide whether applicants can log in and apply using their existing investor details. It defaults to on, so existing offers behave exactly as before. Turn it off for offers that should only accept new holder profiles. The setting also applies to staff entering applications on an investor's behalf. 
  • Regenerate payment instructions on demand. Authorised users can now regenerate a payment instruction PDF at any time, even when nothing in the application or offer has changed. The new document carries the current date and the latest details, so applicants never receive an instruction dated weeks before it was sent. Each regeneration is recorded for audit. 
  • Trust applications with a corporate trustee. Issuing securities for a trust with a corporate trustee now completes as expected under every wholesale client verification setting. 
  • Overseas companies and corporate trustees. Companies and corporate trustees registered outside Australia, including New Zealand, now see an optional company number field and continue without obstruction. 
  • Cleaner data room access. The redundant "I'm registered" heading has been removed from the data room login on expression of interest offers. 

Capital calls and partly paid holdings

  • Adjust unpaid amounts directly. Issuers can now create a transaction that only increases or decreases a partly paid holding's unpaid amount, leaving quantity and paid amount untouched. It is available in the Issue securities form and the transactions importer. Issue units with an unpaid amount to be confirmed, true it up later, then run a capital call against it as normal. 
  • Every recipient receives every document. Read-only users, such as advisers, now receive the custom documents attached to a capital call on the original send, matching the primary holder's copy. 
  • Custom capital call text, properly spaced. Custom text now sits clear of the message that follows it. Where Registry Direct is the registrar, the contact address in these emails is now hello@registrydirect.com.au. 
  • Shorter receipt subject lines. Capital call receipt emails now end with the holder's name, without the capital call name appended. 

Investor communications

  • See which emails are opened. The communications centre now tracks email opens. An opened indicator sits beside the sent status on the message detail page and in the ungrouped outbox, and the grouped outbox shows an open count for each communication. 
  • Payment statements investors can identify at a glance. Statement PDFs and email subjects now carry the payment type, issuer name and record date. 
  • Larger attachments. Email attachments can now total up to 25 MB, up from 8 MB. If a file exceeds the limit, upload fields tell you clearly. 
  • Custom email domains, easier to configure. Pending domains open by default in the Domains list. Domain configuration now links to the help centre article and lets you copy the DNS records as plain text, ready to pass to your IT team. 
  • VIP alerts name the issuer. VIP alert email subjects now show the issuer name instead of the category. 
  • Clearer transaction emails. The transaction processed email now uses neutral wording, so it reads correctly for every recipient on the holding. 
  • What you write is what investors see. Custom messages written in the email editor no longer appear double spaced in Gmail and other mail clients. Spacing in the inbox now matches spacing in the editor. 

Meetings and proxy forms

  • Issuer identity on every proxy form. The issuer name and ABN, or ACN where no ABN is held, now appear at the top right of the proxy form, in line with the logo. 
  • Proxy instructions that match the vote type. On meetings set to one vote per investor, the proxy form no longer shows instructions for voting a portion of a holding or appointing a second proxy. Share and unit weighted meetings are unchanged. 
  • Northern Territory time. The meeting setup wizard now includes the Northern Territory (ACST, UTC+9:30) as a timezone option. 

Reports, statements and exports

  • All investors, clearly labelled. When you run the Top investors report with ‘Show all’ selected, the PDF is now titled All investors report. The Top held and Held by others rows are removed, leaving a single, accurate total. 
  • Holding statements in logical order. Where allotments and redemptions fall on the same date, holding statements now list increases before reductions. The running balance reads correctly and never shows a temporary negative. Underlying transactions and final balances are unchanged. 
  • Cap table exports without contact details. Investor contact information has been removed from cap table PDF and CSV exports. 
  • Exports for read only client users. Read-only client users can now export the All holdings table from the client centre. 

Accuracy and refinements

  • Correct balance precision. The holdings table on the investor details page now displays balances to the security's own precision, matching the rest of the platform. 
  • Multi-currency clarity. In the client centre All issuers table, clients with issuers in more than one currency now see market cap split by currency without misleading labels. 
  • Accurate ABN formatting. The Supplier ABN field on the client QTFN report no longer adds an extra space to an ABN that is already formatted. 
  • Consistent name validation. Company and trust name validation in the basic and advanced investor importers now matches the contact forms, so names containing full stops or other characters import without friction. 
  • Permissions reflected on screen. Read-only issuer users no longer see edit, delete or import and export actions on security prices. 
  • Branded login, end to end. On branded issuer login pages, the login button and every other button now carry the issuer's brand colour, including on the authenticator app code form. 
  • Wider address lookup. Loqate address lookup now covers every country with level 4 data or above. 
  • Correct trust type labels. The Charity trust type now displays as Charity throughout the platform.
