May has been another big month for releases. We’ve enhanced the CRM capabilities of the platform by allowing issuers to send communications to contacts via the new message form, as well as add contacts to distribution lists. Communicating with contacts is further enhanced with the new contact tags feature. We’ve also introduced features to make communicating with advisors and tracking advisor fees and funds easier, with investor-linked advisor contacts and transaction tags.

Other new features include a Client centre transaction table, contact export and import, customised capital call emails, processing payments based on an uploaded spreadsheet, generating AIIR reports with multiple securities, and more.

Communications

  • Issuers can now send communications to contacts. Contacts can be selected from the contact book list and added to the New message page via the actions menu. They can also be selected directly in the New message page, individually or by contact tag. The New message page has had a design update along with this feature. 
  • Contacts can now be added to distribution lists. This can be done via the contact book Actions menu or when editing the distribution list.
  • The website URL entered in the Client or Issuer profile is now displayed in emails to investors in the contact details section.
  • Fixed a bug resulting in the communication sent to investors regarding their unit certificate referring to it as a ‘share certificate’ regardless of the security class category. This wording is now dynamic depending on the security class category.
  • Fixed a bug resulting in not being able to send custom attachments to holders.

Contacts

  • Issuers can now use tags to manage contacts. Tags can be created by the user, then  added to contacts via a new section of the contact details page, or in bulk from the contact book Actions menu. Contact tags can also be used in the New message form to select which contacts to send communications to.
  • Issuers can now export all contact book tables to CSV. Choose to export either all rows or filtered rows from the table Actions menu.
  • A basic individual contact import feature has been added to the Client centre, allowing issuers to bulk import contacts via a spreadsheet from, for example, a CRM. 

Advisor contacts

  • Issuers can now add a contact to a holder in a new Advisor role. Advisor information is included in transaction data and can therefore be used to calculate advisor fees. The Advisor role also helps issuers communicate with their investors’ advisors.

Transactions

  • Issuers can now use tags to manage and classify transactions. Tags can be created by the user, and assigned when creating or editing transactions or processing applications, and added in bulk from the transactions table.
  • A Transactions table has been added to the Client centre. Issuers can now view all transactions for the client by clicking on Transactions in the Client centre menu.
  • The subject line of emails to investors regarding the processing of transactions has been updated to include the security class and type of transaction. The content copy of the email has also been updated to be more readable.

Capital calls

  • Issuers can now enter custom text and add attachments to the communication which is sent to investors with the capital call payment instruction. 

Payments

  • Issuers can now process distributions or dividends based on amounts uploaded via a spreadsheet. This supports users who require bespoke allocations at the investor level.
  • The characters allowed for custom ABA reference prefixes has been expanded to all available characters within the Cemtex ABA file prefix specification.

Imports

  • The investor basic and advanced import spreadsheets have been updated to include separate columns for company ABN/TFN or TINs, to replicate the contact creation form.
  • The transactions import spreadsheet has been updated to include:
    • A column for transaction tags.
    • A column for an Advisor email, which the system will use to associate an advisor contact to the holder.
  • Fixed a bug in the advanced investor import, which was not creating tax declarations for imported holders.

Offers and applications

  • In the application form ACN lookup field for a company, improved the error message when an ACN is entered for a company that does not have an ABN, so that the applicant is prompted to enter the company name and proceed with the application.
  • Updated the application list view and application details so that the Risk rating verification status shows the live status of the investor, rather than the status when the application had securities issued. This makes the behaviour consistent with the other verification statuses. As part of this update, once units have been issued for an application, risk ratings cannot be deleted nor new risk ratings added to the application details.
  • Fixed a bug in the application form which prevented the ABN lookup for trusts from working.
  • Fixed a bug in the application form where in one instance an applicant could not proceed past the beneficial owner step.

Tax reports

  • Issuers can now create AIIR reports with multiple securities included.
  • AIIR report files will now use a naming convention which includes the issuer name and report reference.
  • Tax statement files will now use a naming convention which includes the issuer name.
  • The CRS report will now report controlling persons of Australian Passive NFEs with foreign indicia even when tax declarations are missing. This addresses potential under-reporting to the ATO.
  • Fixed a bug in the QTFN report resulting in NO DATA being reported on trust investors for first name and surname in some instances.

Activity logs

  • Activity logs are now created when adding, editing or deleting transaction tags.

Xero integration

  • For applications and capital calls, the UI copy has been updated to make it clear when the invoice is created in Xero.
    • For applications, when an offer is configured for payment instructions to be sent manually, users will see the button “Create payment instruction in outbox and invoice in Xero”. 
    • For capital calls, a paragraph has been added at the Review steps noting that the invoice will be created in Xero when the Next button is clicked.
