Every change approved. Every obligation met.
October brings more workflow approvals to the actions that matter most on your register, a complete view of retained payments across your client, and the ability to create contacts directly from the associated contacts panel of a contact details page or application.
Nothing reaches the register without approval
Workflow approvals now cover payment setup, payment status changes, imports, contact changes, contact merges, and capital calls. Turn each on from the workflow approval settings page. Once enabled, the action becomes Request approval, the change goes to your approvers, and nothing is applied until it is approved.
- Payment setup. Approving and scheduling a distribution payment routes through approval. On approval, the payment is scheduled. On rejection, it returns to draft for editing.
- Payment status changes. Status changes on direct credit and cheque payments, including bulk actions, route through approval. DRP payments are excluded, as they are approved when scheduled.
- Imports. Investor and transaction imports route through approval before anything is added to the register.
- Contact details. Changes to identification details, tax details, identity documents and source of wealth route through approval.
- Contact merges. Merges started from the contact list or the contact detail page route through approval.
- Capital call processing. Request and approve capital calls one at a time or in bulk.
Two refinements have been added; Read-only users can now approve requests in the Issuer Centre or Client Centre. The Request approval dialog now states clearly that approval is required, and that any eligible approver can action it from the All approvals page.
Your whole client base, always within reach
The Client Centre now gives you direct access to the records behind every number, across every issuer you manage.
- Retained payments report. A new Reports menu holds a retained payments page listing every retained distribution payment across all issuers in your client. Export the full list to CSV, or send a retained payment communication to selected investors. The CSV export, here and in the Issuer Centre, now includes contact name, email, phone and an account activation link.
- Statements have been moved to the new Reports menu.
- Holdings and contacts export. A new Export selected holdings & contacts to XLSX action on the All holdings table gives you a file with two tabs: one row per holder, and every associated contact for each holder with their SRN, holder name and roles. Use it to see contact details and AML/KYC status across your register in one file.
- Linked metrics. Every actionable figure in the All Issuers table is now a link. Emails pending approval, bounced emails, letters to post, pending payments, unpaid applications, applications pending issue, applications requiring AML/CTF action, workflow approvals and holders each open the right page, already filtered to the records behind the count.
- Wholesale status expiry. The Wholesale status tab on the AML/CTF verification page shows when each investor's wholesale status expires, calculated as two years from the accountant's certificate issue date. The expiry also appears in the XLS export.
- Creating issuers. When you create an issuer from the Client Centre or Issuer Centre, choose an existing client you administer or create a new one, then confirm before the issuer is created.
Tax and compliance, backed by accurate data
- TFN withholding on deemed payments. On AMIT tax statements, Australian resident investors who have not quoted a TFN now have TFN withholding applied to deemed payments, as the ATO requires. The amount appears at 13R, at TFN amounts withheld in Part C Table 6, in the tax statement input form and in the AIIR. Statements for non-resident investors and net cash distributions are unchanged, and the Disable tax withholding calculations for deemed amounts setting is respected.
- Reports with no statements to produce. When your report settings attribute 0% to every investor, the report now shows No statements to produce in the list and opens a detail page explaining why, alongside the settings that produced the result.
- Clearer statement filenames. Tax statements covering more than one security class now name each class in the filename. Reports covering a large number of classes generate in full, with filenames kept within length limits.
- AIIR with foreign addresses. The AIIR now generates for investors whose overseas address was entered manually.
- Super fund verification under the AML/CTF reforms. The ATO Super Fund Lookup panel now makes clear that the lookup confirms the fund's ABN, registered name and ATO status, and does not complete AML/CTF verification. New offers require a current trust deed or extract by default, and the offer setup and application form list exactly what it must show.
- TFN and ABN for trusts. When a trust contact has supplied an ABN in its contact details, the tax declaration asks for a TFN only, so you hold both. This applies in the application form, when creating a trust contact, and on the contact detail page in the Issuer Centre and Client Centre.
Offers, applications and investor communications
- Create contacts where you need them. Search the associated contacts panel on a contact detail page and, if the contact does not exist, create it on the spot. New contacts can also be added to the holder on the applications details page Contacts section. Edit investor type is now Edit investor contacts, and both contacts and investor type can be edited.
- Export filtered applications. Filter the applications table on any offer detail page and export exactly those applications to XLSX.
- Invoice regeneration prompt. Dismiss the prompt to regenerate invoices on an offer. It returns only when a change requires it.
- Communicate with holders as at a record date. Send a communication to every non-nil holder of selected securities as at a date you choose.
- Co-operatives. Co-operative is now an issuer investment body entity type. Investors in a co-operative are invited to manage their membership, not their investment, and adviser invitations follow the same wording.
- Sorting by sent date. In communication tables, messages without a sent date always sit at the bottom, so sent messages appear first in either sort order.
- Email sending domains. For a domain showing Verification failed, click Check connection to restart verification. Your existing DNS records stay the same, and the domain moves to Verified once the records are found.
Transactions, payments and Xero
- Redemptions without a bill. Redemptions posted to Xero without a bill now credit Unpaid Redemptions instead of a bank account, which Xero does not accept on manual journals. The account dropdown lists liability accounts only. Make the cash payment in Xero directly.
- More account choice on overrides. When overriding manual journal entries on offers, applications, capital call setup and capital call processing, choose any equity, asset or liability account.
- Transaction attachments. Add, remove or replace the document on any editable transaction, including transactions that were imported or created outside the transaction forms.
- Faster investor selection. The buyer select on the transfer securities form and the investor select on the allot securities form open with the first 50 holders and search the rest. Clients with large registers across many issuers see the biggest difference.
Fixes and refinements
- Users with read-only access to one client and admin access to another now switch between clients freely in the Client Centre.
- The meeting setup wizard keeps your saved record date and voting cutoffs when a draft is edited from a computer in a different timezone.
- AML/CTF documents save correctly after an attached file is removed. The same applies to the hero image and logo in offer branding.
- Application PDF transcripts generate when an applicant contact has no registration or postal address, and trust and government body transcripts show the postal address.
- Investors see their full dividend payment history, including payments from older payment runs.
- Applications submit successfully when a looked-up address has since changed in the address service.
- Holding statements show the unpaid value in the summary table for cash-type securities.
- The Charity trust type is labelled Charity throughout the platform.
- Cap table columns no longer show up or down arrows when a value is zero.
- Redundant text is removed from the capital call PDF report.
