Sometimes you need to change how much is unpaid on a partly paid holding without issuing or redeeming any securities. For example, securities were issued with an unpaid amount that was not known exactly at the time, and the amount now needs to be corrected before a capital call is run against it.
You can do this with an Issue securities transaction that has a quantity of zero. The holding's number of securities and its paid amount are not changed — only the unpaid amount moves.
These steps only apply to partly paid securities. If a security is not partly paid it has no unpaid amount, and the Total unpaid value field is not shown.
Increasing the unpaid amount
Go to Transactions and start an Issue securities transaction.
Choose the security and the investor whose holding you are adjusting.
For the calculation method, choose Enter total value and price, quantity will be calculated.
Enter
0in Price per security.Enter
0in Total paid value. In Total unpaid value, enter the amount you want to add to the holding's unpaid amount.
Check the transaction summary. The quantity will be 0, the total paid will be 0, and the total unpaid will be the amount you entered.
Complete the transaction as usual.
The holding's unpaid amount increases by the amount you entered. You can now run a capital call against it in the normal way.
Decreasing the unpaid amount
The steps are the same, except that you enter the amount as a negative number.
Go to Transactions and start an Issue securities transaction.
Choose the security and the investor whose holding you are adjusting.
For the calculation method, choose Enter total value and price, quantity will be calculated.
Enter
0in Price per security.Enter
0in Total paid value. In Total unpaid value, enter the amount you want to remove from the holding's unpaid amount, as a negative number — for example,
-5,000.00to reduce the unpaid amount by $5,000.Check the transaction summary. The quantity will be 0, the total paid will be 0, and the total unpaid will show as a negative amount.
Complete the transaction as usual.
The holding's unpaid amount decreases by the amount you entered.
You cannot reduce a holding's unpaid amount below zero. If the amount you enter is larger than the holding's current unpaid amount, the transaction is rejected and the current unpaid amount is shown in the error.
Doing this for several holdings at once
Both adjustments can also be done through the transactions importer, using the partly paid transactions template.
For each holding you want to adjust, add a row with:
Buying/Receiving holder — the holder whose holding is being adjusted, for both increases and decreases.
Selling/Redeeming holder — leave blank.
Category — the issue category you would normally use.
Date — the transaction date.
Quantity — blank or
0.Paid amount per security — blank or
0.Unpaid amount per security — blank or
0.Total paid value — blank or
0.Total unpaid value — the amount to add, or a negative amount to remove.
Upload the file as usual and check the preview before approving. Any row that would reduce a holding's unpaid amount below zero is flagged in the preview and is not imported.
What the investor sees
These transactions appear on the holding statement like any other, and are recorded in the holding's activity log. If you tick the option to send a holding statement, one is sent for the adjustment. Untick it if you would rather not notify the investor about the adjustment on its own.
