At any point during the course of your offer you can view and manage any applications which have been submitted by investors:
- From the menu, go to Offers and then click the sub-menu item Offers & Applications.
- Click on the Title of the Offer you wish to manage to go to the Offer detail page.
Pending applications
Any applications which are in draft state (have been saved as a draft by the applicant and not yet submitted) will be shown in the Pending applications table. Each Application will have a unique ID, details of when the application was received, and Investor and Adviser name and contact details.
From this table, you can select one or more draft applications, and from the Actions menu:
- Resend resume draft email, which contains the link to access their draft.
- Resend approval email.
- Delete the application.
- Email recipient at the application contact email address.
Submitted applications
The Applications table contains the list of submitted applications. Each Application will have a unique ID, details of when the application was Received, Investor Name and other important information.
Application details
The details submitted by the applicant can be viewed in the Application details section.
There are three tabs in the Application details section:
Holder tab
This section displays the data that will become the holder when securities are issued to the applicant.
- Investment amount. The amount that will be invested into securities, and related information.
- Contacts. The contacts that will make up the holder are displayed in the nested accordion layout showing the structure of contacts within the holder. For example, beneficial owners will be nested directly under the entity they are a beneficial owner of. The role and verification status of each contact is displayed next to their name.
- Contact details. Contact details for the applicant.
- Bank details. Bank account details supplied by the applicant for payment of dividends or distributions.
- Payment options. Options selected by the applicant for payment of payment instructions.
- Risk rating. Issuers may add a risk rating to the applicant after reviewing and verifying their AML/CTF details.
Submitted details
This tab contains the full details submitted by the applicant in their original submission, and is read-only. You can download supplied documents and view warnings for required information which has not been supplied.
Activity log
This tab displays any edits made by issuer users to the application which have been entered into the system Activity log.
Editing application details
To edit application Contact details, Investment amount, Bank details or Payment options:
- Click on Edit application at the top of the Application Details section.
- Update the relevant details of the application form.
- Click Next until the Review step and Save the application.
Editing application contacts
Information about any individuals or entities submitted with the application is converted into contacts. These contacts are listed in the Application details section Holder tab, under Contacts.
To expand a contact in the accordion and view its associated contacts, click the plus icon to the left of the contact's name. To collapse it and hide the associated contacts, click the minus icon.
To view or edit a contact’s details:
- Click on the contact’s name in the Contacts list.
- The contact’s contact detail page will load into the Contacts list.
- To make an edit, click the Edit button in the section you want to edit. See the Contact detail page article for more information on editing contacts.
- Click Save.
- To return to the list of contacts, click Back to applicant contact list at the top of the contact details page.
Verifying application contacts
If you have selected verification options when setting up your offer, you can verify application contacts before issuing securities. The application contacts’ verification statuses can be viewed next to their name in the Application details section Holder tab, under Contacts.
To verify an application contact:
- Click on the contact’s name in the Contacts list.
- The contact’s contact detail page will load into the Contacts list.
- In the Verification section of the contact detail page, you can perform the same verification checks that are available to all contacts. See the Investor verification articles for more information.
- To return to the list of contacts, click Back to applicant contact list at the top of the contact details page.
Merging application contacts
If the system detects an application contact may be a duplicate of an existing contact from your contact book, an icon will appear next to the contact in the Contacts list.
To review and merge possible duplicate contacts:
- Click on the contact’s name in the Contacts list.
- The contact’s contact detail page will load into the Contacts list.
- On the contact detail page will be a Possible duplicate existing contact/s found notification. Click Show existing contact/s to display the existing contacts.
- If there is a duplicate, select it using the radio button.
- You have three options to manage the duplicate contacts:
- Replace and keep. Replace the application contact with the existing contact, and keep the application contact in your contact book.
- Replace and delete. Replace the application contact with the existing contact, and delete the application contact.
- Merge. Merge the application and the existing contact.
- If you choose to merge the contacts, the Compare and merge contacts page will display in a modal. There will be a row for each record comparing the value for both contacts.
- Where values between the two contacts are the same, the Options column will display Match.
- Where values between the two contacts differ and there can only be one value per contact, both values will display a radio button and the Options column will display Select one. Select one of the values to retain in the merged contact.
- Where values between the two contacts differ and there can be multiple values per contact, all values will display a checkbox and the Option column will display Select to retain. Select any values you wish to retain in the merged contact.
- Any GreenID verification results or PEP and watchlist screening results recorded for either contact will be retained in the merged contact.
- Any notes entered in the verification section for either contact will be retained.
- When all selections have been made, click Merge contacts. Once the merge is completed you will be taken to the contact details page of the merged contact.
To return to the list of contacts, click Back to applicant contact list at the top of the contact details page.
