The contact detail page is where all the information about a contact can be accessed and edited.

To access the contact detail page:

  1. Go to the Client centre, by clicking on the user icon on the top right-hand corner of the Issuer centre. Then from the dropdown menu, click on Client centre.
  2. From the Client centre, go to the Contacts menu item.
  3. Locate the contact in the contact book by filtering or sorting the contact tables.
  4. Click the view/edit button in the contact’s row to go to their contact detail page.

You can also click on the contact's name wherever it appears as a link.

The contact details page is made up of the following sections.

Header

The header displays the contact name, type and unique ID number.

It also displays the verification status indicators, which give you a quick view of the verification statuses of the contact.

Under the header are two tabs, Contact details and Activity log

  • The Activity log tab displays any edits made by issuer users to the contact detail page which have been entered into the system Activity log.
  • The Contact details tab contacts the sections below.

Identification details

The identification details section displays name and address of the contact, plus specific identification information for each contact type:

All contact types:

  • Name
  • Address
  • Postal address

Individuals:

  • Date of birth
  • Country of citizenship
  • Mobile phone number
  • Director’s ID
  • Email address
  • Deceased status

Companies:

  • Country of registration
  • ACN/ABN
  • Public company status
  • Charity status

Trusts:

  • Trust type
  • ASRN
  • Country of establishment
  • ABN

Partnerships:

  • Country of registration
  • ACN/ABN
  • Regulated partnership status
  • Regulation association/body
  • Membership number

To edit the Identification details section:

  1. Click Edit in the section title.
  2. You can choose to send or not send a communication with any update you make by using the Send communication with this update? Yes/No radio buttons.
  3. Make your changes and click Save. Your changes will be reflected in any holder where the contact is used.

Associated holdings

The Associated holding section displays a list of the holdings where the contact is used, including:

  • The holding name. Clicking on the holding name or SRN will take you to the holding details page.
  • The SRN.
  • The Role this contact has with the holding, eg Beneficial owner, trustee.
  • The Issuer and Security the holding is with.
  • The Quantity of units held.

This section can’t be edited directly. See Add a new holder for how to create a holder from a contact, or Associated contacts below for how to add an associated contact to an existing contact within a holder.

Associated contacts

The associated contact section is applicable to Company, Trust and Partnership contact types, and displays other contacts associated with this contact, such as directors, trustees, or partners. It lists:

  • The contact Name. Clicking on the name will take you to the contact detail page.
  • The Role the contact has. Eg. Director, beneficial owner, trustee.

To edit the Associated contacts section:

  1. Click Edit in the section title.
  2. You can choose to send or not send a communication with any update you make by using the Send communication with this update? Yes/No radio buttons.
  3. To add a contact, click Add contact.
    1. Select an existing contact and click Add.
    2. Select a Role for the added contact or type in a custom role.
  4. To remove a contact, click the minus button next to the contact.
  5. Click Save. Your changes will be reflected in any holder where the contact is used.

Tax details

The tax details section displays individual or entity tax information depending on the contact type:

  • Individual. Tax countries, tax numbers, and tax declaration.
  • Company, trust and partnership. Tax countries, tax numbers, financial institution status including GIIN, Non-Financial Entity status and tax declaration.

To edit the Tax details section:

  1. Click Edit in the section title.
  2. Complete your changes, then click Save. Your changes will be reflected in any holder where the contact is used.

Identity and other documents

You may upload identification and other documents, enter document reference numbers, issue or expiry dates, and mark the documents as verified:

  • Individual. Accountant’s certificate, source of wealth document, driver’s licence, passport and/or other ID documents.
  • Company. Accountant’s certificate, regulator-issued document and/or other documents.
  • Trust. Accountant’s certificate, proof of trust document and/or other documents.
  • Partnership. Accountant’s certificate, partnership agreement and/or other documents.

To edit the Identity and other documents section:

  1. Click Edit in the section title.
  2. To add a document, click the Add document button.
    • Select a Document type.
    • Optionally type in a Document label.
    • Optionally type in a Document reference number. If you have selected a drivers license as the document type, you can enter a Licence no., State of issue and Card no.
    • Enter a Document date. This could be an Issue date or Expiry date depending on the document type.
    • Upload a File from your computer.
    • Select the Verified by issuer option to mark the document as verified.
  3. To delete a document, click the minus button to the left of the document.
  4. Click Save. Your changes will be reflected in any holder where the contact is used.

Source of wealth

The Source of wealth section is applicable to individual contacts, and displays the source of the person’s assets and wealth.

To edit the Source of wealth section:

  1. Click Edit in the section title.
  2. Select any source of wealth options that apply.
  3. To add an option not from the list, select Other, and type the source of wealth in the text input.
  4. Click Save. Your changes will be reflected in any holder where the contact is used.

Politically Exposed Person declaration

Individual contacts who have been added to the contact book via the application form may have made a PEP declaration as part of completing the application. The details of that declaration will be displayed in this section.
