Update an investor's holding preferences

Each holding an investor owns can be found under the Holdings tab on their Investor details page.  Each holding has their own set of Payment instructions, Contact details and Communication preferences.

Payment instructions

You can specify the investor’s Dividend Reinvestment Plan (DRP) preference for this holding by setting DRP status to either Full Participation, Partial Participation or No Participation.

If Partial Participation is chosen then you must enter the maximum number of units participating in the DRP. If the investor holds fewer securities than the amount specified in DRP units, then the holding’s DRP status will automatically be considered to be Full Participation.

You can enter either Australian bank account details or international bank account details.

  • For Australian bank accounts, you can specify a BSB, Account Number and Account Name for the holding which will be used for any payments which are made to the investor for this holding.
  • For international bank accounts, you can enter the Full name of account holder, Account Name, SWIFT or Bank Identification Code (BIC), Account number or International Bank Account Number (IBAN), and Account holder home address.

To edit the Payment instructions of a holding, find the investor either from the search feature, CAP table or investor list and from the Holdings tab:

  1. Expand the holding you wish to edit by clicking the + icon.
  2. Click edit on the Payment instructions section.
  3. Edit the preferences.
  4. Click Save.

To disallow investors updating their bank account details via the investor centre for a holding:

  1. Expand the holding you wish to edit by clicking the + icon.
  2. Click edit on the Payment instructions section.
  3. Select 'No' under 'Investor can update bank account details'.
  4. Click Save.

Contact details

The Contact details preferences can only be edited by you as the issuer as long as there is no registered user with access to the holding. Once a registered user has been given access to the holding, only they can update their contact details from their user account in the Investor Centre.

You can specify the First name, Last name and Phone (mobile and other).

To edit the Contact details of a holding, find the investor either from the search feature, CAP table or investor list and from the holdings tab:

  1. Expand the holding you wish to edit by clicking the + icon
  2. Click edit on the Contact details section
  3. Edit the preferences
  4. Click Save

Communication preferences

The Communication preferences can only be edited by you as an issuer if there is no registered user with access to the holding. Once a registered user has been given access to the holding, only they can update their communication preferences from their user account in the Investor Centre.

You can specify whether the investor will receive communications either via Post or Email for four different types of communications. If you choose Post, the Registry Direct platform will generate a PDF which you can print and send to the investor via post. If Email is chosen, the Registry Direct platform will send an email to the email address specified in the Contact details for the holding. The four types of communications are:

  1. Annual Reports. For annual reports, you can also specify Do not send if the investor does not want to receive the annual report.
  2. Company information.
  3. Statements.
  4. Notice of meetings and proxy.

If you have tried to send mail via post to the investor and it has been returned to sender, you can select Yes for the Has postal mail has been returned to sender? question in the primary investor's address details on the Investor details tab. This will result in the investor seeing a notification prompting them to update their postal address details next time they log into the investor centre.

To edit the Communication preferences of a holding, find the investor either from the search feature, CAP table or investor list and from the Holdings tab:

  1. Expand the holding you wish to edit by clicking the + icon.
  2. Click edit on the Communication preferences section.
  3. Edit the preferences.
  4. Click Save.
